EE seeking Events and Operations Coordinator

We’re looking for a highly organized and reliable person to support our team working half time. The Events and Operations Coordinator will help execute engaging events and support day-to-day operations in service of EE’s mission to advance student-centered learning. The position is currently a two-year role with the potential to renew. For now, the position will be remote, but eventually once it is safe to do so would work at least one day per week out of our office in Saint Paul.

Education Evolving (EE) is a nonprofit, nonpartisan organization focused on advancing student-centered learning, in particular for students who are underserved.

To us, student-centered learning means learning is built on a foundation of strong relationships where students’ foundational needs are met and their identities are honored and reflected in school; learning is driven by students and relevant to their lives beyond school; and learning is oriented around mastering knowledge and skills rather than passing time in seats, with students receiving personalized support as needed.

If student-centered learning is the goal, how do we get there? Our theory of change is three-fold:

  • School decisions need to be made closer to students, in particular by teams of teachers sharing power with students, families, and communities.

  • Educator Networks: We connect and support a core group of schools and districts using innovative designs for student-centered learning.

Position Responsibilities

  • Events (about 12 hours per week)
    • Design—working with the team to design virtual and in-person events that are inspiring, welcoming, educational, and powerful
    • Project management—assigning tasks in our online task management software Asana, keeping an eye on timelines, scheduling calendar invites for meetings
    • Venue logistics—reserving event spaces and hotel rooms, ordering food/beverages, being point of contact for venues/catering, arranging parking options, etc.
    • School visit logistics—arranging site transportation, confirming dates and schedules
    • Registration and attendee management—setting up registration pages, managing Eventbrite, managing guests lists, printing name tags, sending out Certificates of Attendance, etc.
    • Swag—working with the team to create memorable and useful branded items, order swag, maintain an inventory
    • Travel—coordinating travel arrangements for guests and as necessary our team, including hotel, plane tickets, etc.
    • Day of event—serving as a site coordinator, supervising registration and check in, assisting staff with session set up and miscellaneous tasks
  • Operations (about 8 hours per week)
    • Bookkeeping—inputting bills into our accounting software, entering reimbursements, printing checks, updating budgets, etc.
    • Board and staff meeting support—running reports, compiling metrics, gathering and printing materials, assembling agendas and packets, etc.
    • Supporting development and fundraising–helping to prepare thank you letters, track grant/report deadlines, and more
    • Data maintenance—including categorizing people in our database, eliminating duplicate names, updating information, etc.
    • Other admin support—sending out occasional mailings, preparing copies and binders for meetings, printing documents for workshops or presentations
    • Supporting the executive director and others on the team in other administrative tasks as they arise, including helping to schedule meetings, submitting required yearly state filings, following up on late invoices, etc.

Qualifications

  • Previous experience in a similar role, in particular event coordination experience, required
  • Ability to be in St. Paul office at least one time per week (once it is safe to do so)
  • Interest in education and aligned within the mission and vision of EE
  • Strong technology skills, including ideally software programs such as Google Docs, Eventbrite or similar event software, Xero or similar accounting programs, Asana or other project management software, and other software
  • No degree necessary

Compensation

Salary range is $22,000 to $25,000 for a 50% position (about 20 hours per week), depending on qualifications and experience.
